Camp registration, all in one place.

See You at Camp brings registration, payments, forms, cabins, check-in and the camp store together in one system, so families can register in minutes and your office spends less time chasing paperwork.

Free to use and supported by donations. Runs on your camp's own web address and works on phones, laptops and the office iPad.

One system, three jobs

One system for families, the office and camp week

Everyone works in the same place, so nothing gets typed in twice.

For families

One Camp Portal account for the whole family

Parents enter their address, emergency contacts and who can pick up just once. Every kid on the account uses it, and it's still there next summer.

  • Step-by-step sign-up. Pick a week, pick a cabin if you allow it, fill out the forms, pay.
  • Pay one week at a time. Each week has its own balance, so a camper going two weeks doesn't owe it all up front.
  • Forms only ask what applies. Questions show or hide based on earlier answers, and last year's answers fill in for them.
  • Camp store money. Parents add spending money online, so campers don't need to carry cash.
For the camp office

Your camper list, your columns, your forms

The camper list is where you start. Add any form question as a column, add your own staff-only checkboxes like "needs to see the nurse," and print or export it.

  • Separate boys' and girls' spots for each week. Close a week for boys and keep it open for girls. Two families can't take the same last spot.
  • Build your own forms. Medical, permission and photo release forms, with questions that only show when they're needed, and immunization uploads.
  • Discounts. Early-bird pricing that turns off on its own, sibling and church codes, and deposits.
  • Balances, refunds and checks. Record a check that came in the mail, apply a sponsorship, or refund back to the card that paid.
  • Automatic reminders. Emails and texts like "camp starts in 30 days," sent only to families who still owe money or have forms to finish.
  • Reports. Kitchen allergy lists, cabin lists, immunization downloads, and your own custom reports that export to Excel or CSV.
At camp

From the check-in table to the snack shack

When families pull in, the same system runs check-in on the office iPads and the register at the camp store.

  • Check-in and check-out with signatures. You can see who's allowed to pick each camper up before they leave.
  • Cabin board. Drag campers into cabins or let auto-assign fill them. Campers who asked for a cabin are left for you to place, and you see a preview before anything changes.
  • Med log. Log meds by day. Once the nurse signs off on a day it's locked, and any fixes are added as amendments.
  • Camp store register. Tap items or scan barcodes, charge the camper's spending money or take cash, and send food orders to a kitchen screen.
Features

Handles the stuff that usually goes wrong

And if your camp needs something we don't have yet, tell us. We're happy to add it.

Youth weeks and family camp

Regular weeks fill bed by bed. Family camp cabins go to one family each, based on how many the cabin sleeps.

No fake "full" weeks

Sitting in someone's cart doesn't hold a spot. A week only shows full when it actually is.

Set up next year in minutes

Copy last summer's weeks, cabins and prices to next year. Dates land on the same weekday, and you open registration when you're ready.

Email and text reminders

Set them up once based on each week's start date. They only go to the families who need them and never send twice.

Reports you can build yourself

Pull reports on campers, families, invoices or the camp store. Group and total them, then print or export to Excel.

Audit log and backups

See who changed what and when, and download a backup of your camp's data any time.

Security & privacy

Families trust you with their kids' information

We take that seriously.

  • We never see card numbers. Families pay on Stripe's or PayPal's checkout, straight into your camp's account.
  • Every camp is kept separate. Only your staff and your families can see your data.
  • Documents are protected. Immunization records and signatures are checked on every download and are never public links.
  • Every staff member has their own login. Their name is on every payment, med log entry and check-in. Only a super admin can permanently delete a family.
Who we are

A ministry of Cedar Rock IT

We built See You at Camp to serve camps. It's completely free to use and runs on donations.

  • Free to use. No subscription and no fee per camper. If it helps your camp, you can support it with a donation.
  • Need a feature? Just ask. If your camp needs something we don't have yet, tell us. We're happy to add it.
  • Stripe and PayPal. Families pay online through your camp's own Stripe or PayPal account. Their normal processing fees apply, and families can choose to cover the fee at checkout.

Questions

Frequently asked

Will it work with our current website?

Yes. Keep your website and add a Register button. Registration runs on your own address, like registration.yourcamp.org, with your camp's name on it.

How do we get paid?

Families pay through your camp's own Stripe or PayPal account, so the money goes right to you. You can record checks and cash in the office too.

Can families pay a deposit now and the rest later?

Yes. Set a deposit for each week. Each week keeps its own balance, and reminders go out on their own to families who still owe.

Do you handle family camp and day camp as well as overnight weeks?

Family camp is built in. A whole cabin goes to one family, based on how many it sleeps. If you run other kinds of programs, reach out. If something doesn't fit yet, we'll work with you to add it.

Can we bring over last year's families?

Families make their Camp Portal account once. After that their info, campers and form answers carry over every summer. Talk to us about bringing over your current records.

What does it cost?

Nothing. See You at Camp is a ministry of Cedar Rock IT and is completely donation based. The only cost is Stripe's or PayPal's normal processing fee on online payments, and families can choose to cover that.

What if we need a feature you don't have?

Tell us. We're happy to add features camps need, and what we build for one camp is there for every camp.

Want to see it?

We'll walk you through registration, the office side and the camp store. It's free to use, and if you need something we don't have, we'll add it.
